We keep things simple and secure. To confirm you spot on trailQuest experience, please complete our online booking form. It's a no-brainer.
Deposit: A 25% deposit is required to confirm your booking. This secures your spot and allows us to organize everything.
Balance: The remaining 75% can be settled upon arrival during the pre-trek briefings or paid via credit card or bank transfer prior to your departure for Nepal.
Currencies: We accept all major currencies—USD, EUR, GBP, AUD, SGD, CAD—at the exchange rate on the day you make your payment.
Payment Security: All credit and debit card transactions are processed via a secure, SSL-encrypted gateway powered by CyberSource (Global IME Bank). We do not store your card details on our servers. All transactions are subject to 3D Secure (3DS) authentication for your protection.
Transaction Fees: An additional 3.5% bank transaction fee will apply to all payments made by credit or debit card.
Plans don't always manage themselves, and that's fine.
Booking 1-2 days before a scheduled trip is considered a "Late Booking".
Once a late booking is confirmed, the amount is non-refundable due to the immediate allocation of resources.
We understand that sometimes paths change.
100% Refund: To recieve a full refund, send a written notice via email at least 21 days before the departure.
Partial Refund: If you cancel less than 21 days before departure, we’ll refund the balance after subtracting the fixed costs (flight/hotel cancellation, permits, and pre-allocated staff fee).
Refund Method: Refunds will be processed promptly (within 7-15 days) and will be credited to the original card or bank account used for the purchase.
Fees: Any bank transfer fees or the initial 3.5% transaction fee are non-refundable and are the responsibility of the client.
If you need to adjust your trip, we’re here to help you find a new path.
Notice: Please provide at least 3 weeks' notice for rescheduling.
Feasibility: Last minute changes are subject to safety, availability, and feasibility. No refunds are available for last-minute rescheduling once crew and logistics are locked in.
Extensions: Extending your trip during rescheduling or customization will incur additional charges to cover extra permits, staff, and accomodations.
No refund is provided if you cut your trip short for personal reasons once the journey has commenced.
If you choose to stay in Nepal after an early departure, we provide a per diem credit of $25 per day for the remaining unused days of your specific itinerary.
The mountains can be unpredictable, and flight delays might extend your stay. That's why:
We cover accommodation and meals only for the specific number of days listed in your itinerary.
Extra expenses resulting from flight delays or extended stays are your responsibility.
We strongly recommend travel insurance to cover these gaps.
Our crew members are your trusted partners in your safety.
Ratios: We provide one guide for every 5 trekkers. For larger groups, assistant guides are added.
Authority: In emergencies, guests must abide by guide's decision.
Load Limits: Porters carry up to 20 kg total, shared between two guests (10 kg each).
Travel insurance is mandatory for all participants. Your policy should cover flight delays, medical emergencies, and immediate evacuation upto 6000 m.
HEADS UP: We don't sell travel insurance policies ourselves.
These terms and conditions are governed by and construed in accordance with the laws of Nepal. Any dispute shall be subject to the exclusive jusrisdiction of the courts in Kathmandu, Nepal.
